Getting started

What is NextiaTax?

Software that helps Canadian small businesses keep organized, tax-ready books — capture and read receipts with AI, track transactions and GST/HST/PST, and export tax-time summaries like the T2125. It also includes an AI assistant that answers questions about your own data.

Who is it for?

Canadian individuals, freelancers, the self-employed, and small-business owners who want to track expenses and keep their receipts, invoices, and bills organized and tax-ready. If you run more than one venture or have a team, the Business and Ultimate plans add businesses, seats, and higher limits.

Do I need an accountant to use it?

No — it’s built to help you keep organized records yourself. An accountant can still help with filing positions, unusual transactions, and professional advice, and NextiaTax gives you a cleaner package to hand over.

Is there a free plan?

Yes. Starter is free forever (1 business, 1 seat, monthly limits). New accounts also get a 14-day trial of Plus features — no card required.

What NextiaTax is / isn’t

Is NextiaTax a tax advisor or accountant?

No. It organizes and reports your data; it does not give tax, accounting, legal, or financial advice. Always confirm with a qualified professional before filing.

Will it file my taxes with the CRA?

No. It produces exports — like the T2125 — that you or your accountant use to file. It does not file with the CRA and does not guarantee acceptance or any refund outcome.

Is the AI assistant a general chatbot?

No. It answers questions about your own NextiaTax data and how to use the app, and politely declines everything else. In this version it reads your data only — it never changes it, and it does not give tax advice.

Features

How accurate is the receipt reading?

NextiaTax extracts fields such as vendor, amount, date, GST/HST and PST and shows confidence information where available. AI can make mistakes, so you review the extracted fields before approving the resulting bookkeeping record.

Does it support GST/HST and PST?

Yes — transactions and documents track GST/HST and PST as separate fields, so your summaries and exports are accurate.

Can I track expenses by project or trip?

Yes. Projects are a separate dimension from categories — tag receipts and transactions to a project (a client engagement, a conference, a trip) and see that project’s own income, expenses, GST/HST and category totals. You can also export a package scoped to just that project. It’s optional, so it changes nothing if you don’t use it.

What if the same vendor is spelled several ways?

“Apple”, “Apple Inc.”, and “Apple Incorporation” can all belong to one supplier. NextiaTax flags look-alike vendor names and lets an authorized user merge them into a single canonical vendor, and you can also map any raw name to a vendor by hand. Once mapped, spend-by-vendor totals and exports roll up under the one vendor instead of being split across near-duplicates.

Can I analyze my spending — comparisons, charts, trends?

Yes. The Analysis view compares periods (this month vs last, this year vs last), breaks spending down by category, vendor, project, payment method, month, or day of the week, and can pivot two dimensions against each other. Switch any view between a chart and a table and export it. Analysis is available to owners, admins, and accountants.

Do my dashboards and exports include transactions I haven’t reviewed yet?

By default, no — dashboards, analysis, and exports show only reviewed transactions, so your headline numbers reflect books you’ve confirmed rather than a half-checked import. A toggle lets you include everything still in the pipeline, and after a bulk import you can select rows, see the totals for exactly what you picked, and approve the whole batch at once.

Is there a mobile app?

Yes — native iOS and Android apps for capturing receipts and checking your books on the go, in English or French, with light and dark themes.

Is it available in French?

Yes. The product is fully bilingual (English and French).

Can I connect my bank?

Bank connections via Plaid are coming soon. For now you can import transactions from a CSV or add them manually — both flow through the same review queue.

Security & privacy

Is my financial data safe?

NextiaTax uses encryption in transit and at rest, server-enforced permissions, and Canadian Azure regions for its core database and files. Identity, payments, push delivery, and some provider processing may occur outside Canada; the Privacy Policy and Sub-processors page explain the details.

Do you store my card details?

No. Payments run through Stripe and your card details never touch our servers.

Where is my data stored?

Your core NextiaTax database and uploaded files are hosted in Canadian Microsoft Azure regions. Some providers — including identity, payment, email, push, edge security, and certain AI deployment types — may process limited information outside Canada.

Does the AI train on my data?

We do not use your financial records to train our own general-purpose model. Microsoft’s current Azure documentation says prompts, outputs, and customer data for models sold by Azure are not used to train foundation models without the customer’s permission or instruction.

How do you handle privacy?

Billing

How much does it cost?

There are six plans (CAD): Starter $0, Essential $4.99/mo, Lite $7.99/mo, Plus $14.99/mo, Business $24.99/mo, and Ultimate $39.99/mo. Annual billing saves about two months.

What happens after the trial?

You stay on the free Starter plan unless you upgrade. Nothing is charged automatically without a card on file.

Can I cancel anytime?

Yes. Cancel from NextiaTax billing or the Stripe portal before your renewal date to stop the next charge. Access normally continues until the end of the period you already paid for; cancelling a no-card trial may end it immediately.

Do paid plans renew automatically?

Yes. A paid plan renews at the monthly or annual interval you choose until you cancel. The billing interval and renewal timing are shown during checkout and in your billing account.

Do you offer refunds?

Monthly charges are generally non-refundable except for billing errors or where law requires otherwise. Annual purchases and renewals have a 14-day full-refund window; after that, you can request a prorated refund for unused complete months. See the Billing & Refund Policy.

Are taxes included?

Displayed plan prices are in Canadian dollars before applicable GST/HST, QST, PST, or other taxes. Checkout shows the amount and taxes before you confirm payment.
